Will there be a venue to provide room and time for an exhibitor/vendor area?

I was thinking of inviting Wayne Boyer of Cycleport to come show his wares and measure folks for custom apparel. Optimally, it would be in an area where a bike could be used to get accurate measurements of seated riders/pillions.

I don't want to hit him up out of line, or, at the same time, create an event that he might not be able or willing to attend. There's been some chatter about a Cycleport group buy, and many folks expressed an interest in seeing some product and being measured in person.

 
We should have extra room in the banquet area for vendor tables. We just need to be careful with what they bring in. There might be portage fees involved and if that's the case, the vendor will be solely responsible for that. Further, if they need special electrical or AV needs, they'll have to bring their own or have the hotel rent it for them. Again, that's on their ticket, not the Event's.

I would prefer that each vendor submit a brief proposal including what their display needs are, then we can go on a case by case track or we can develop a template to which they must comply. As Orangevale is the Swagmaster, he's got control of the details on this issue, AFAIC.

I am working on a piece to give to vendors. This was in a combined effort to obtain swag and to tie some favors to vendors to values of swag they donate. Therefore, at the same time as approaching them for swag, I'm addressing the vendor area and potential special events such as seminars they can conduct. I will be done with the package for tthe vendors this weekend and will post the results in here for feedback.

With the high number of vendors responding, I need to know how many vendor tables we can accomodate in the Banquet room.

Colin is out of the office today, but the chicky answering his phone indicates that one of these rooms *might* be the registration room. If that's the case, it will serve as the seminar/presentation room, too. Don't bank on this, let me get confirmation from Colin when he gets back.

By my math, the Board Room is 1353 square feet. And the biggest group should get the biggest room.

Just looked through the catering terms and they are:

Exhibit TablesThe first five (5) exhibit tables are complimentary. Each additional table is $30 per day. Each exhibit will include draping, skirting and chairs.
I did not put in the budget anything extra....ummmmm....how close would we be with 5?

Wow...I think we are over that limit. I can get people to chip in their $30 as I did mention the hotel might have weird fees.

How many sponsors should we have? I'd hate to quit early as I'm on a roll!

How many do you think you might end up with? The banquet rooms open up IIR, but then again, I don't want to be swamped and overwhelmed, nor take away steam from "NFO" should interest here be less than enthusiastic for the vendors...
