Ok folks, time to get things rolling…
There are a couple of areas that we need assistance with. I will start with there always has been members willing to help. That’s great, and we need to reach into that talent pool this year. What I need this year are individuals who can take on certain aspects of the event and own them. I really need to get out of the mode of trying to be everywhere at once. If you commit to taking on one of these areas, we are all depending on you to do what you say you will.
The first area is registration at the hotel. I need an individual to manage registration and a crew to staff the registration times. We will set specific times to have registration open where the attendees can stop and get their rally packs – shirts, name tags, swag. There will be a period on Thursday evening, Friday evening, and Saturday evening. We will do an hour window each night. I will have the nametags, lanyards, etc. shipped to the hotel.
The next area is we need help with is ride group planning. I want to make sure that if there are rally goers who want to form a group because they’re unfamiliar with the area or maybe don’t have a GPS are paired up. There is always conversation about it – I want to set a time / place that those who want to ride with someone new can meet and plan their next day’s ride.
I need some help with sending emails and making phone calls to vendors to solicited donations for door prizes. Please speak to me directly about this, I have a list of those who have supported us in the past, as well as what we can offer in return from an advertising aspect.
Another official post I would like to fill is the Saturday banquet M/C. I would like someone to take the lead with getting people seated, letting the staff know we’re ready for dinner, and going through the door prizes and thank you’s.
Lastly – the group photo. Yamafitter has done a great job herding the cats for the picture, so hopefully this note will make its way to the far off frozen tundra. Regardless, we will need a few individuals to assist and herding everyone together for the picture, and possibly a photographer…
