Rates Changed a Little

I just received a call from Joe at the Bavarian Inn. He is the owner and/or manager. He has been in Colorado for the last week, and found out that his assistant gave us some rates for CFO 2008 that surprised him. We got extraordinarily low rates this year because they screwed up our room block. The original room block was for the week before, but they "forgot to put it in the computer" and later found out that another group had that week reserved. So to compensate us for their mistake, and us having to change the date for CFO to the following week, they gave us really low rates for 2007.

The adjusted rates he just gave me are still low, and are below the standard "rack rates". They are $4-5 higher than what we were told on Saturday. The new rates are:

$49- Single (1 person/1bed) (Only 9 of these are available)

$53- Double (2 people/1 bed)

$62- Double (2 people/2 beds)

This is why on Saturday I asked for the rates in writing, but I'm not going to make a big deal out of it. (I got a copy of their yellow registration card.) I'm OK with the adjusted rates. I asked Joe to send me a written formal quote for the new room rates. Most hotels have a multi-page contract for group reservations, but not the Bavarian Inn.

Peter, I strongly advise you to get a written quote for the costs of the banquet when you get to that stage.

Peter and Dale: you both made reservations already. Did you ask about the rate, and if so, what were you told?

On another subject..... When Iggy was setting up this special semi-private area for us to communicate about stuff like this, he said he wanted there to be one person who would represent CFO if we wanted any changes related to this forum. So, to avoid confusion, I listed myself as the rallymaster.

Those rates are fine with me. They are still very reasonable. And I figured you as the Rallymaster also. Even though the work is basically done for awhile, I'm hoping with Dale(and wife), Peter and myself helping, you will not have as much to do this next year.

That's highway robbery! I'm just not going to pay it! Wait, I already made reservations, and they told me the new price so I guess I must be okay with it. Sheesh, around here you can't get anything halfway decent for less than $129, so this is a screaming deal.

+1 banquet rate in writing. Wouldn't it be a good idea to get everything in writing? Vendor commitments, local dealer commitments (special oil change rates, etc) Just thoughts...

What happens if we get 60-100 people? Would other hotels in Custer be willing to reserve rooms for us?

With NAFO happening in the Denver area just a couple of months before CFO, we might even have fewer at CFO 2008 than we had this year. In fact, when I first heard about NAFO, my first thought was, "that's the end of CFO", if NAFO is always going to be held in the Central part of the country. Denver is only 5.5 hours away from the southern Black Hills. But I think it's worth a shot, to try to have CFO near NAFO, both geographically and time-wise.

On the other hand, I heard from a number of CFO'ers who'd attended WFO that they liked the smaller venue, and that they felt pretty much lost at WFO, so you never know...

When I registered they said the rates were not set yet. Those new rates are fine with me. I feel the CFO is the right time of year, no people, great weather. I think the word is out that 2007 was a sucess. I'm a newby to this group and felt very accepted and we all seem to have the same interest in bikes an how we like to ride.

I agree about the advantage of the smaller venue. I was at WFO this year and of the 200+ people there, only a few were from the area, so it was difficult to get much local, specific information about rides, routes, what to see, do, etc. At CFO, with the bikes parked in front of the rooms, it was easy to get to know everybody..... a casual, friendly, atmosphere.

I thought I read a post where they would combine events, NAFO would be set up by CFO one year, then WFO, then EOM...but that might still be in the works.

I haven't looked today, but I haven't seen a date/site that's been officially announced. I think they are still looking for people to help organize it.

If the first one is in Denver, that's great. If it's the week before CFO, I'm going to CFO. I've been to Denver on a bike, I could do without that and I prefer the smaller (under 100) people events.

Time frame for NAFO will be in July. I think the 3rd week in July is when they always try to do it. So no worries with it being close. I'm not for sure either what to expect but I'm thinking it will be near or a little higher than this year. But not anywhere near the 60 suggested. I'm fine with what we had.

I agree with Jackson, I can't believe we are this far in the planning stages already. But on the other hand. We did have CFO announced right around end of the year last year. So with thinking about the web site and other things we would like to do, it never hurts to get going on something like this early.
